KWC Maintenance Program

At Key West Swim & Tennis Club, a significant amount of time and work is necessary to open and close the pool and maintain our property year-round.  We are fortunate to have a beautiful, extensive riverfront property and a wonderful membership community.

KWC receives no funds from any HOA or community organization and is completely funded by membership fees. The KWC Board is composed of volunteers who receive no compensation or profits. KWC members balance the communal obligation of keeping the facility thriving through a volunteer program.  Since the 2021-22 season, KWC has assessed a Maintenance Fee in addition to our membership dues. Members can work off their required Maintenance Fee through modest volunteer hours and earn a refund.  

The financial viability of KWC depends upon each person’s contribution of time over dollars.  There are many tasks required to keep our property maintained; if we do not do this work, we will need to hire individuals to complete the work.  

For the 2023-24 season, 

  • Each Membership Unit will be assessed a $100 Maintenance Fee in addition to the membership fee.  This fee is subject to change in future seasons.
  • The Maintenance Fee is fully refundable upon completion of volunteer work and will be distributed on 12/01/24. 
  • For new members, the Maintenance Fee and volunteer hours are waived for their first membership season.   
  • Each year, the Board will set the volunteer hours requirement; for the 2023-24 season the requirement is 3 hours per membership unit.  

Details:

  • This fee must be paid up front with your membership dues (even if your hours were completed prior to your dues submission), but will be refunded once volunteer hours are completed. If volunteer hours are not completed by October 31, your maintenance fee will not be refunded and will go into future maintenance and repairs needed. 
  • Volunteer time for the Key West Swim Team does not count towards this program.
  • All volunteer hours must be fulfilled by members 16 years of age and older. (Children are welcome to participate alongside their over-16 year old family members.) 3 hours are required per membership unit.
  • Volunteer hours are not transferable between memberships 
  • A list of volunteer opportunities will be shared with membership as they are available and only approved volunteer activities will count toward fulfillment of the policy.

Refunds:

  • For the 2023-24 season, refunds will be provided 1 time; checks will be mailed to members on or about December 1, 2024.  
  • Refunds will only be provided to members who have fulfilled all of the hours required; there will be no partial refunds.

Volunteer Jobs:

  • Volunteering at the KWC’s Work Parties shall result in an hour by hour credit for work completed. Volunteers must sign into the log book provided in order to receive credit. 
  • Additional job opportunities will be posted to a Sign Up Genius or announced in the weekly club newsletter.  Members may contact us to propose their own ideas. There is plenty to do.

Process for Fulfilling Volunteer Hours:

  1. The club member attends a club work party, chooses a job (from the Sign Up Genius or newsletter posting) OR contacts the Board (keywestclub1@gmail.com) with an idea for a job not yet on the list.  All ideas must be approved by a Board member before work counts towards required hours. 
  2. Job needs to be completed by October 31, 2024.  November 1, 2024 starts a new year.
  3. Members must complete the “KWC Volunteer Hours” Google Form within 24 hours of job completion.
  4. Completion of job is verified by the maintenance program coordinators and is recorded on the membership list.
